Presentation Guidelines


1.Oral Presentation

● Time & Date

Please check the program to confirm your scheduled presentation day and time.  The program is available at [here]
The time limits for presentation, including the time for Q&A, should be strictly followed.  When your turn comes next, please wait on the seat labeled “Next Presenter”.


● Presentation slides

・All slides should be prepared in Power Point with Windows or Mac OS.
・To make the best use of the given limited time, presenters are urged to use a laptop PC that has been set up by seminar staff.
・File name should be “Presenter’s name.ppt” (e.g. KumamotoTaro.ppt).
・No unique or machine-dependent fonts can be used.
・Available application software and its versions are as follows:
  【Mac】OS X 10.6.6・PowerPoint2008 Version12.2.8
  【Windows】OS:Windows7・PowerPoint2010


Presentation file should be sent electronically to the Seminar Office at akikei@* (*kumamoto-u.ac.jp), or stored in a USB flash drive and handed to seminar staff at the “PC Registration Desk” on the first day of the seminar (Oct. 24th).  In the latter case, please inform us in advance by email which OS (either Windows or Mac) and what version of Power Point you are going to use.

* We will return your USB flash drive on the same day and ensure that your file saved on our PC is deleted at the end of the session.


2.Poster Session

● Time & Date

・ Session 1: October 25 (Thursday) 13:00-15:00
・ Session 2: October 25 (Thursday) 17:55-18:30
・ Session 3: October 26 (Friday) 11:40-13:30 (Light snacks will be served)

● Presentation time

・Session 1 (October 25)
【First Half】 Odd numbers: 13:00- 14:00
【Second Half】 Even numbers: 14:00- 15:00
* The first half of each session (30 min):
Each person will have one-minute presentation in the seminar room.  We will start from the smaller numbers.  We will not be taking any questions at this time.
* The second half of each session (30 min):
This will be the time for free poster presentation and discussion in the poster room.

・Session 2 (October 25) 17:55- 18:30 (Voting for the Best Poster Award)
・Session 3 (October 26) 11:40- 13:30  Free time

● One-minute presentation          
Each poster presenter will have one minute to introduce his or her study, using one PowerPoint slide.
* The file should be submitted via e-mail to the Seminar Office: g-coe2@* (*=jimu.kumamoto-u.ac.jp)
   Submission Due: Friday, Oct.19, 2012
* Presenters who fail to submit the slide by the due date will be disqualified.
* You are requested to use Windows PC [OS:Windows7・PowerPoint2010] for your presentation.  Please make sure to test your slide with the same operating system before submission.

● Putting up posters on the board

From 12:00 – 12:50 on Thursday, October 25th
Your poster will be left on the board until lunchtime on October 26th.

● Taking down posters from the board

Seminar staffs will take the posters down from the boards after the last poster session and keep them at the registration desk.  Please pick up your poster before you leave.

● Best Poster Award

The poster session will provide young investigators with an opportunity to present their research and have a face-to-face discussion.  We will give the Best Poster Award to the most accomplished presenter in communication and science.

Eligibility: Young investigators (post-doctoral fellows and students)

Evaluation criteria: Posters will be evaluated in two categories: Presentation and Research.

Posters
Easily understandable
Easily readable fonts and figures/graphs
Creativity to attract an audience
Adequate amount of information (not too much or too little)
Easiness to grasp main points without explanation
Flow and organization
Communication skills
Easily understandable description and explanation
Appropriate Speaking speed
Simple and accurate answers to questions
Good interaction with the audience.

[ Research ]

Originality and creativity
Quality and quantity of data
Validity of study methods
Reasonable conclusions and discussions

Voting:
The votes will be counted as follows:
All participants will have 2 votes for each category; one vote from each PI or invited speaker will be counted as 3 points, 2 points for a vote from non-PI Ph.D., and 1 point for a vote from the rest of the participants.

Awards:
The best score in Presentation: Presentation Award
The best score in Research: Research Award
The highest score in combination: Best Poster Award
* Each winner will receive an award certificate, and a special prize will be given to the Best Poster awardee.

Oral Presentation by the Best Poster Awardee:
The Best Poster Award winner is requested to give a 15-minute oral presentation (12-minute talk and 3-minute Q&A) from 14:00-14:15 on Thursday, October 26th.
Eligible poster presenters are advised to prepare a PowerPoint presentation file in advance.
