Working Plan
Objectives

The purpose of this Seminar is to provide an opportunity for students and young investigators to present their data in English. The program is designed to facilitate communications among young scientists/ students, sharpen critical thinking abilities, and expand their research through active participation in discussion.

Schedule Wednesdays, 12:00 – 13:00
There will be no seminar during the annual meetings of the Japanese Society for AIDS Research, the Japanese Society for Virology, and other relevant meetings. The schedule will be posted on the WYIS website.

Requirements :
Main participants include:

・Ph.D. Students (semi-annual or more frequent oral presentations)
・Research fellows (semi-annual or more frequent oral presentations for those who fall under the speaker category described below)
・Faculty members (semi-annual or more frequent oral presentations for those who fall under the speaker category described below)
※Exceptions (one oral presentation per academic year) will be made for working graduate students and researchers/ students working in the Tokyo lab. Request for exceptions should be presented in writing on the Application Form for Participation.
・gCOE faculty members

Note:

  • gCOE research assistants, gCOE instructors, gCOE research fellows, gCOE JSPS fellows are particularly expected to take an active role.
  • People who are not on the gCOE program are allowed to participate with the permission from a gCOE faculty member working in the same laboratory or from the Young Scientist Training Committee (* See below for more information). All participants must protect strict confidentiality of the data presented at the seminar.
  • Master's students must present their data at least once before finishing a master's degree. They are also expected to actively participate in the discussion during the seminar. Simply sitting in silence without any active participation is not acceptable.
  •  Instead of a full scientific talk, visiting scientists working in a short-term position in a gCOE lab may give a shorter and less technical presentation: e.g. 10 minutes overview of their research including self-introduction.
  • Technicians and administrative staffs who wish to attend the Seminar need to state motives for participation in Application Form. Oral presentations are not required.
Speakers We will have two speakers every week. Ph.D. students and instructors/ post-doctoral fellows who received their doctoral degree within six years will present their data. Priority will be given to gCOE research assistants/ fellows, gCOE JSPS fellows, and gCOE instructors. People who work at geographically distant sites, such as Tokyo Lab, may participate only when they are presenting their data. Depending on the circumstances, first-year Ph.D. students are allowed to give presentations less frequently.
Commentators

Commentators will provide written comments on the research presented. They will be selected from gCOE faculty members and faculty members/ research fellows recommended by the Young Scientist Training Committee. At most two commentators will be assigned for each seminar.
Presentation

Speakers are required to submit abstract to WYIS administrative staff one week before their presentations. Each speaker will have 15 minutes for presentation and 10 minutes for questions and answers. The maximum time limit of 25 minutes in total per speaker will be strictly enforced. The first year Ph.D. students will have 15-20 minutes in total for their first presentation. However, those who advance from AIDS gCOE Master's are expected to give a 25-minute presentation. For short-term visiting scientists, presentation time and format will be adjusted accordingly. All presentations should be prepared with Microsoft PowerPoint. Speakers are encouraged to prepare handouts summarizing background information to assist participants’ understanding. However, handouts must not contain any unpublished experimental data for the purpose of confidentiality. In principle, each speaker should talk about his/her research. Speakers are permitted to broaden the contents of their presentation focusing on their research and experiments; for instance,“unfavorable/unsuccessful results” and “a proposal of new research/experiment. All speakers must provide sufficient background (roughly 5 minutes) before presenting their own data to make the research accessible to wider audience. If a speaker chooses to include more reviews to fill their time slot, he/she must relate the reviews to their research.

Additional remarks
[1]

Speakers should not exceed the 15-minute presentation time.

[2] We will invite an external native speaker to the seminar every time. She/he will evaluate public speaking skills and provide written comments on the presentation.
[3] Evaluation and comments will be fed back to presenters.
[4] We will have Main Discusser Groups consist of 6-7 speaker members each. Main Discusser Group members are required to take an active role in discussion. The members should ask question to a presenter(s) at least once on the day of their duty.
[5] gCOE members should strongly facilitate the active participation of research fellows and Ph.D. students. The members of the speaker's laboratory are expected to attend the seminar and take an active role during the question and answer session.
[6] For gCOE students, data presentation and participation in the seminar, including questions and answers, will affect their gCOE research-assistantship appointment in the following year.
[7] Data presented at the Seminar are strictly confidential. All participants must protect complete confidentiality.
[8] All participants are required to sign the Code of Practice on Confidentiality Agreement in advance.
